Managed Business Administration

Keep recurring administration moving without turning it into unlimited assistant access.

Use this when routine administration is understood but keeps slipping, becoming stale or pulling the owner back into chasing the same updates, records or preparation.

We agree a small set of recurring workflows, one controlled intake route and clear limits so the work keeps moving without quietly becoming an open-ended virtual-assistant service.

For: owner-led B2B micro and small service businesses in England and Wales, typically with 1–10 people, that need reliable recurring administration around work they already understand.

£950per month

Defined monthly service. We confirm the exact workflows, access and fit before anything is agreed.

One controlled intake. Choose up to three pre-agreed recurring workflows, with a maximum eight hours of House of Carol capacity each month and no carry-over.

Routine administration only · no unlimited assistant access · no unattended commitments, payments or specialist professional work

What changes

Routine work has a defined home, rhythm and stopping point.

One intake replaces scattered chasing. Agreed recurring requests come through one controlled route rather than several informal channels.

Routine records stay attended to. The agreed trackers, registers, actions or document routines are maintained within the monthly scope.

Exceptions come back to the right person. Decisions, unclear instructions and out-of-scope requests are returned rather than guessed at.

The service remains finite. The monthly capacity makes it clear what is included, what waits and what needs a different service.

What you will receive

Choose up to three of these five recurring workflow options for the monthly service.

Meeting and action administration

Prepare agreed meeting materials, maintain action lists, record routine updates and queue follow-up for the named customer owner.

Document and records administration

Maintain agreed records, indexes, filing routines or document-status updates using the structure and authority the customer has already set.

Tracker, CRM or admin-register maintenance

Keep agreed fields, statuses and routine entries current from authorised information supplied through the controlled intake.

Scheduling and calendar preparation

Prepare agreed scheduling options, calendars, reminders or meeting arrangements for customer approval where approval is needed.

Routine correspondence preparation

Prepare or queue routine correspondence from approved facts and instructions. External sending or substantive commitments remain with the authorised customer unless separately agreed.

Monthly status review

A concise monthly view of completed recurring work, open items, exceptions, decisions needed and any pressure on the agreed capacity.

Controlled exit and handover

A clear record of the agreed routines and current state so the service can be changed or stopped without trapping knowledge inside House of Carol.

WORKED EXAMPLE

See how this can work

Example situation: A four-person consultancy has recurring meeting preparation, action updates and CRM upkeep that are understood, but the owner still spends time chasing the same routine work each week.

We would start with what is happening now and the information already available, then work through the service described on this page. If the problem needs a different route, we would say so before broadening the work.

A clearer result: Routine administration has one intake, an agreed rhythm and a clear exception route, so the owner sees the decisions and out-of-scope work that genuinely need them rather than every routine update.

What you could receive: up to three agreed recurring workflows, a monthly status review, and a controlled exit and handover record.

Illustrative example — shown to explain how the service can be applied. It is not a customer testimonial or measured result.

Where this could lead next

This service is complete in its own right. You do not need another service for this one to be worthwhile. If the work uncovers a separate problem worth solving, these are the most likely next steps.

SOP & Process Design Sprint

If the recurring administration is repeatedly failing because the underlying process or hand-offs are unclear, this can help you redesign the process before paying for somebody to keep rescuing it.

Explore SOP & Process Design Sprint →

Shared Drive & Document Cleanup

If routine administration is being slowed by duplicate, stale or poorly controlled documents and records, this can help you simplify the information estate before recurring maintenance continues.

Management Reporting Setup

If the real need is to define management measures or reporting rather than maintain an existing tracker or register, this can help you design the management-information layer as a separate piece of work.

If the work resolves the problem and no separate need remains, no further House of Carol service is needed.

Not sure what follows? You do not need to choose another service now. Start with the problem in front of you.

What the engagement looks like

The monthly boundary is agreed before work starts.

What needs to be in place?

One named accountable customer owner, clearly defined workflows and sources, accurate authorised inputs, timely approvals or exception decisions, and only the access genuinely needed for the agreed work.

Ordinary business contact and administration data is the default boundary. Any later automation, elevated access or materially different data use needs separate authority and assessment.

What is outside the scope?

Unlimited VA or EA support, 24/7 or urgent live-phone cover, travel, purchasing, spending or payment execution, bookkeeping, payroll, tax or statutory accounts, debt enforcement, HR, legal, clinical, safeguarding or other regulated judgement are outside this service.

Destructive file deletion or migration, KPI design, process redesign, customer-system administration, unattended external sending, permission changes and substantive commitments are also outside the standard monthly service.

Is this the right service?

It fits when the recurring work is already understood and the problem is keeping a small set of routine administrative workflows moving reliably.

If the underlying process itself is unclear, use the SOP & Process Design Sprint. If the document estate needs structural cleanup, use Document Control & Knowledge-System Cleanup. If management measures need designing, use Management Information & KPI Setup.

What this service does not promise

The service does not promise instant responses, unlimited availability, a particular saving, productivity gain or business result. It provides defined recurring administration within the agreed monthly capacity and relies on timely, accurate customer inputs and decisions.

FROM INTEREST TO A CLEAR DECISION

How to get started

Start with the problem, not a purchase decision. We will check whether this service fits before anything is agreed.

1. Tell us what is happening

Share the problem you are trying to solve, what you already have and any deadline or constraint that matters.

2. We check the fit

We check the scope, the information we would need, the fee and whether this is genuinely the right service. If it is not, we will say so.

3. You decide with the facts clear

Nothing starts until you know what is included, what is not, what you need to provide and what happens next.

There is no pressure to add another service. The useful next step is simply to decide whether this one solves the problem in front of you.

Start with the recurring work

Which routine administration keeps landing back on the owner?

Tell us which tasks repeat, how often they occur and what is currently being chased or missed. We will check whether they fit within up to three agreed workflows and the eight-hour monthly boundary before anything is agreed.
